System Implementation Process Flow
The system implementation process can seem very overwhelming if you don’t have the right team in place to oversee this segment of your IT project. When working on a specific system, the project is divided into six parts, which makes it easier to monitor and lead the project in the best possible direction.
During the system implementation stage, the project begins to take shape, and everyone involved with the project is working tirelessly to construct the project. Usually, the system implementation stage includes converting existing data to use in the new system. The tasks for this effort involve data input and data verification.
The process of system implementation is dependent on the characteristics of the project and the IT solution. Data conversion, phased implementation, and training for using, operating, and maintaining the system are accomplished during this phase.
It is a good choice to alert all impacted users within the organization of the implementation process so unexpected disruptions don’t occur. When notifying others of the system implementation, you should send a schedule of the implementation, cover the benefits of the new system, compare the differences between the old and new system, discuss the responsibilities of the end users impacted by the implementation and include any contact information in case anyone is in need of system support.
In this phase, it is important to keep the momentum going, so every team member apart of the project must pull their weight. A system implementation team consists of: a project manager, an integrated project team, several critical partners and an IT governance organization, which conducts the Operational Readiness Review at the end of the implementation phase.
The system implementation phase is the project manager’s main focus. The project manager is responsible for the successful execution of this phase. They must closely monitor every single aspect of the system implementation phase and act accordingly when errors occur. In addition, the project manager oversees the integration project team; this team is responsible for accomplishing each task apart of the implementation phase as directed by the project manager. The critical partners in the system implementation phase work alongside of the project manager to provide oversight on the conduct of the implementation phase.
At the end of the Implementation Phase, the result is evaluated according to the list of requirements that was created in the definition phase. When all of the requirements established have been met and when the project’s outcome matches the design previously established in the definition phase, the Implementation Phase is complete.
However, those who are involved in a project should keep in mind that it is unexpected events or advancing insight which sometimes require a project team to deviate from the original list of requirements during the implementation of the new system. Being aware of this fact can allow everyone that is a part of the project to prepare appropriately, and make adjustments when needed. These unforseen hiccups are why using an experienced system implementation consultant is imperative. With the right guidance, most of the roadblocks are estimated and planned for in advance. This minimizes the number of hurdles during a system implementation. Most system implementation consultants have many years of experience and can use their specialized skill set to plan the smoothest implementation process to ensure your company reaches its time to value quickly.
